Overview

The Life Events project for ADP was an online service proposal (app mobile) to cut the red tape of requests for benefits offered by companies to employees.

Problem Space

Benefits request is overwhelming HR, and we believe this is happening because it is a physical process, still done by paper. Using digital media, we want to simplify the process and relieve HR.

Objective

Reduce the number of requests for benefits made in person and relieve the Human Resources sector.

My role

I got into this project in the prototyping, testing and validation stage. I've worked as an outsourced UX Designer, working for the noted Brazilian UX Design agency called Catarinas Interaction Design.

Team
  • 2 UX Designers
  • 1 UX Specialist
  • 1 Head Designer
  • 1 Product Owner
  • 1 CTO

My Responsibilities
  • Concept presentation to directors
  • Dynamic Facilitation with stakeholders
  • Create User flows and wireframes
  • Create Prototypes and usability testings

Challenges Faced

  • No concept validations had been carried out from the beginning of the project
  • Lead a remote team
  • Conduct meetings with directors who are naturally always quite busy
  • Not have get into the project at an early stage
  • Short deadline

Stunning outcome

"Live Events feature delivers ease, speed, and efficiency" (HR Staff)

  • The total time spent on the process decreased
  • The HR team reported a significant drop in in-person requests in the very first month after launch (-10%)
  • A highly praised feature

Strategy and Research

Life Events Concept

Life Events has as a concept the possibility for employees to create a "timeline" of life events in the "Service Place" (HR app for employees). In this way, the system would connect events and the benefits offered.

For instance, when an employee informs "marriage," the system understands that the spouse would be entitled to the health plan extended so that the system would propose for online membership.

No papers and no bureaucracy.

Concept. For example, when a child is born, there are several processes to be done. "Life-events" organize them.

Why Workshop

We decided to run a workshop (group dynamic) with directors to validate the concept and get some insights. As a result, we were able to perform a collaborative and participatory project.

My goals

  • Bringing people with different backgrounds
  • Create the feeling of belonging
  • Collaboration

Workshop insights

Before the dynamic, we were working with 5 situations that we believed were important to inform to the company. However, 68 were raised and out of these, 38 were pointed as vitally important

Strategic and Design Decisions

After mapping the problems and opportunities, we decided which points should be solved first and how to do it. We chose to generate interactive prototypes to validate and align with users if their needs were being attended to and get insights to improve the feature.

User Flows

The figure below represents the concept of the Life-Event's flows. How each event connects with each benefit.

Design and Solution

It's vital to say that we had a mature and consistent design system that allowed us to go straight to prototyping in some cases.

Prototype

Validation - Usability Tests

I applied the test to 19 people

Objectives

  • If users comprehend the concept of Life Events
  • If they would have any problem in informing personal life events for the company
  • If employees could saw value in the proposal

User interface little adjustments

I had to add extra info on several screens. Just for example, below we can see one of them, now informing that they will need some documents in hand before starting.

Discoveries and the decision made

When an event happens, even before thinking about benefits, all employees think that they should report their absence.

Managers expected value: Autonomy for employees

Employers expected value: Fast communication

Results and Learnings

Learnings

We learned in this project that it is essential to make constant alignments with the customer and insert them into the process whenever possible so that there are no surprises at the end.
